Service Agreement

1. Purpose

This Sales and Service Agreement explains the basic terms for purchasing HairCRM plans, moving from demo or trial access to paid service, subscription use, payment, invoicing, renewal, cancellation and service scope.

HairCRM is a B2B SaaS clinic management software for hair transplant clinics. Where a purchase qualifies as a consumer transaction in a specific case, applicable consumer and distance contract rules may also apply. For corporate sales, a separate offer, order form or service agreement may be issued between the parties.

2. Plans and Service Scope

Plan scope may vary by user count, storage, patient and lead record limits, integrations, modules, support scope and additional services. The information displayed on the website, offer form or panel at the time of purchase defines the purchased scope.

  • Demo or free trial access does not grant indefinite or unlimited use of all paid plan features.

  • Additional users, extra storage, custom integrations, setup or training services may be charged separately.

  • Service scope may be reasonably updated for technical requirements or security reasons.

3. Pricing and Payment

Prices are determined by the selected plan, billing period, currency, campaign, additional services and offers approved between the parties. Monthly and yearly payment options may have different conditions. Taxes, payment infrastructure fees or additional service fees may apply separately.

If payment is not made on time, HairCRM may restrict, suspend or terminate service access. Reactivation may require completion of overdue payments and fulfillment of any additional conditions.

4. Invoicing

Invoicing is issued according to the organization information provided during purchase. The customer is responsible for keeping invoice details accurate and up to date. HairCRM is not responsible for delays caused by incorrect or incomplete information.

5. Renewal, Cancellation and Refunds

Subscriptions may renew according to the selected billing period. Cancellation, refund or end-of-term closure conditions are evaluated based on the offer, panel information or written agreement approved at the time of purchase.

For corporate SaaS services, refund options may be limited after service access is provided, setup/activation is completed or custom configuration begins. Mandatory consumer law rights remain reserved where the transaction qualifies as a consumer transaction.

6. Setup, Support and Training

Setup, data migration, team training, custom integration or consulting services may be included in the plan or charged separately. Support channels and response times may vary depending on the selected plan or service terms agreed between the parties.

7. Service Continuity

HairCRM applies reasonable technical measures to keep the service accessible, secure and stable. Temporary interruptions may occur due to planned maintenance, updates, security work, third-party service outages or force majeure events.

8. Distance Sales and Pre-Information Note

If a sale is completed directly through the website and qualifies as a consumer transaction under applicable law, distance contract and pre-information obligations may apply separately. Although HairCRM’s target customers are clinics and corporate users, when online payment is enabled, the relevant pre-information and approval steps should be arranged on the purchase screen.
