Membership Agreement

1. Scope

This Membership and Terms of Use Agreement governs the use of the HairCRM website, user accounts, demo request flows and the HairCRM clinic management platform. HairCRM is a software service that helps hair transplant clinics manage patient inquiries, operation planning, team coordination, communication records and reporting workflows from a single panel.

By using the platform or creating an account, you accept the usage rules set out in this agreement. A person creating a corporate account confirms that they are authorized to act on behalf of the relevant clinic or organization.

2. Membership and Account Security

Information provided during membership must be accurate, up to date and related to the organization. The user is responsible for keeping usernames, email addresses, passwords and account access credentials secure. Sharing account credentials with third parties, enabling unauthorized access or allowing others to use the account is prohibited.

• HairCRM may request additional verification for accounts that pose a security risk.

• Unauthorized access, suspicious activity or data security risks must be reported to HairCRM without delay.

• The clinic is responsible for assigning and regularly reviewing internal user permissions.

3. Platform Usage Rules

HairCRM may only be used for lawful clinic operations, candidate patient management, team coordination, communication and reporting purposes. The platform may not be used for unauthorized data collection, spam, misleading communication, unauthorized access, abuse, reverse engineering or activities that threaten system security.

The clinic is responsible for the accuracy, lawful collection and required notice/permission processes related to patient, candidate patient, photo, communication, operation, staff and financial records entered into the platform.

4. Data and Privacy Responsibility

HairCRM applies technical and administrative measures to keep the platform infrastructure secure. Where clinics enter patient data into the system, the clinic may act as the data controller for that patient data, while HairCRM may act as a data processor limited to the service provided.

5. Service Access and Usage Limits

Plan scope, user count, storage, record limits, integrations and module access may vary depending on the purchased or demo service plan. HairCRM may perform reasonable planned interruptions for security, maintenance, updates or service quality purposes.

6. Intellectual Property

All intellectual property rights in HairCRM software, interface, brand, logo, design, text, graphics, documentation and technical infrastructure are reserved. Users receive only a limited, non-transferable and non-exclusive right to use the service.

7. Suspension and Termination

HairCRM may temporarily suspend or terminate service access in case of a security breach, unlawful use, failure to meet payment obligations, violation of third-party rights or breach of this agreement.

8. Limitation of Liability

HairCRM aims to provide the service with reasonable technical care. However, HairCRM is not responsible for damages caused by user errors, incorrect data entry, internal permission mistakes, third-party service interruptions, internet infrastructure issues or causes outside HairCRM’s control.

9. Changes

This agreement may be updated due to product features, security requirements, operational needs or legal changes. The latest version becomes effective when published on this page.
